Job Purpose

ImbaHub Empowerment Institute is an upcoming, leading empowerment institute committed to empowering individuals, families, communities, cooperatives and business organisations with the tools, skills, and resources they need to learn, thrive and grow. We are looking for a dedicated Payroll Administrator to join our team and ensure our most valuable asset ‘our people’ are supported by seamless financial operations. In this role, you won’t just be processing numbers. You will be the guardian of our team’s financial well-being.

Core Responsibilities

  • Processing monthly and bi-weekly payroll for permanent staff, contractors, and program facilitators.
  • Ensuring all statutory deductions (Tax, Pension, etc.) are calculated correctly and submitted on time and prepare year-end tax filings.
  • Maintaining and updating the payroll database, including new hires, terminations, and salary adjustments.
  • Maintaining updates on changing tax brackets, ensuring the correct classification of employees, and maintaining organised records for potential audits.
  • Preparing monthly payroll reports and reconciliations for the Finance Manager.
  • Conduct regular payroll audits to ensure data integrity and prepare detailed reports for management regarding labour costs and budget variances.
  • Acting as the first point of contact for staff queries regarding leave balances, tax certificates, and payslips.

Qualifications & Experience

  • At least a Bachelor’s degree Human Resources, Accounting or a related field. A Masters’ Degree is an added advantage.
  • An Executive diploma in Agile Accounting or Entrepreneurial Human Resource Management. 
  • Professional payroll certification (e.g., CPP, CIPP, or local equivalent) is highly advantageous.
  • Minimum of 3-5 years of experience in payroll administration.
  • Previous experience in a training and capacity building organisation, NGO, or professional services environment is preferred, specifically dealing with contractual facilitator payments.
  • Technical Proficiency. Advanced knowledge of payroll software (e.g., Belina, Sage, ADP, SAGE VIP) and expert-level MS Excel skills (VLOOKUPs, Pivot Tables).

  • Team-orientation. Being a team-oriented administrator, viewing other departments and employees as partners rather than data sources.
